  • Executive Assistant (to the EVP - Leasing & Development)

    Job Locations US-IL-Chicago
  • Under direction of the EVP - Leasing & Development, the Executive Assistant will provide administrative support for the Leasing & Development department.

    As the Executive Assistant (to the EVP - Leasing & Development), one is held accountable to, however not limited to, the following job functions: 

    • Maintains Executive’s daily calendar, including all meeting scheduling and adjustments, exercising considerable discretion and judgement as to priorities and effective use of the Executive’s time.
    • Manages complex travel arrangements at the request of the Executive and/or the Department Team.
    • Prepares and processes monthly expense reports on behalf of the Executive and other Department Team members.
    • Coordinates meeting logistics for meetings held by the Department, assembling and distributing meetings materials, attendance, reserving conference rooms, and organizing catering when necessary.
    • Maintains Executive and Department files via internal databases (i.e. Salesforce).
    • Welcomes guests by greeting them, in person or on the telephone; answering or directing inquiries as needed or directed.
    • Preserves client confidence and protects operations by keeping information confidential.
    • Displays the utmost professionalism among all staff and clientele.
    • Completes ad-hoc projects as assigned by Executive and/or the Department Team; delegate as needed and follow up on results.
    • Office Management responsibilities as assigned.
    • Assumes additional responsibilities and performs special projects as needed or directed.


    • 3-5 years of hands on administrative support experience 
    • Proficient in Microsoft Office: Excel, Word, and Outlook.
    • Knowledge of operating standard office equipment.
    • Strong administrative skills - ability to provide administrative and clerical support.
    • Ability to juggle multiple projects with superb accuracy.
    • Strong organizational skills; a sense of urgency and problem solving skills.
    • Success in multi-tasking while maintaining a strong attention to detail and desire to perform projects and actions with the highest quality results.
    • Exceptional client service skills; over the phone and in person with our clients and internal departments.
    • Excellent communication skills, both in written format and oral presentation.
    • Ability to prioritize, work under pressure and adhere to tight deadlines.
    • Demonstrated self-starter, able to work independently with minimal supervision.
    • Ability to be proactive and demonstrate initiative in projects and tasks.
    • High degree of integrity.



    • Bachelor’s Degree 
    • Proven ability to expand areas of knowledge and learn new skills as circumstances require.


    Work performed in a general office environment.  May require extended hours.
