  • Assistant Property Manager

  • We’re looking for a dynamic Assistant Property Manager to work on-site at a mixed-use Retail/Flex center just south of Oakland in San Leandro. This position will report to the Regional Property Manager and will assist as directed on a day-to-day basis.This position will also assist on properties located in San Francisco and Gilroy, CA. Total portfolio square footage is just over one million square feet.

    As the Assistant Property Manager, one is held accountable to, however not limited to, the following job functions: 

    • Assist in day-to-day operational management of multiple retail/mixed-use assets consisting of buildings and grounds consistent with company policies and procedures.
    • Assist with management oversight of 3rd party vendors, contractors and service providers.
    • Support and assist with tenant-focused relationships, assure prompt response to service requests, able to communicate in a positive, professional manner with vendors, tenants, co-workers and the general public.
    • Assist RPM in obtaining NOI objectives while maintaining or exceeding operational standards and goals.
    • Assist with the oversight of service agreements, contract bidding, creation of scopes of work, quality control of services being rendered, expense controls, compliance of contractual standards, etc.
    • Assist with property events, tenant functions and holiday events.
    • Gather, analyze and report statistical and financial data required to provide accurate assessment of property performance and support decision-making; assist in creating and managing operational and capital budgets.
    • Obtain COIs and other pertinent documents from contractors, suppliers and other 3rd parties, assure compliance to company policies; Assist with oversight of special projects, construction, landlord’s work, TI and/or capital improvements.
    • Draft correspondence and/or notify tenants about information relating to lease issues, tenant improvements, maintenance etc.
    • Assist RPM on various projects.
    • Assist with creating operating budgets for each property.  Includes meeting with and soliciting quotations from vendors for various services.
    • Provide post-accident follow-up, including reporting, investigation and liaison for insurance, legal and incident prevention purposes.
    • Abstract leases for new tenants; including retail, restaurant and entertainment uses.
    • Review invoices to ensure they are accurate, coded correctly and are paid on time per the approved budget.
    • Walk properties and visit tenants regularly to establish and maintain a positive rapport.
    • Meet with tenants as directed by Property Manager to resolve issues with tact and diplomacy.
    • Perform property inspections with vendors and complete inspection reports as required.
    • Assist with Tenant move-ins and move-outs.
    • Support the RPM on emergency responses.
    • Assume additional responsibilities and perform special projects as directed.

    REQUIRED QUALIFICATIONS

    • 2-5 years relevant experience
    • Proficient in Microsoft Office, including Excel, Word and Outlook.
    • Strong organizational skills.
    • Success in multi-tasking while maintaining a strong attention to detail and desire to perform projects with the highest quality results.
    • Maintain personal skills and establish relationships in order to advance professional networks and facilitate communication both within and outside the company.
    • Excellent communication skills, both in written format and oral presentation.
    • Ability to prioritize, work under pressure and adhere to tight deadlines.
    • Demonstrated self-starter, able to work independently with minimal supervision.
    • Ability to be proactive and demonstrate initiative in projects and tasks.
    • High degree of integrity.
    • Strong financial management skills.
    • Strong focus on delivering results and providing exceptional tenant service.

     

    PREFERRED QUALIFICATIONS

    • Property management and accounting software experience 
    • Bachelor Degree
